Skype user guide
Good to know
- Calling someone from Skype to their phone number moves the conversation out of the "skype" universe and on to the mobile network. No smart functions like video, chat, desktop sharing or other will work. Just voice.
- Answering an incoming Skype call on the mobile phone, not the Skype app on the phone, gives the same limitations as above.
- To connect to the conferenceequipment, see the guide for your company.
Check sound / video settings before starting the meeting
A classic is wasting precious minutes waiting for someone to fix their sound or video settings. Avoid this by checking the settings in Skype before starting the meeting.
- Click the Options icon
- Make sure the correct Audio and Video device is selected. If you are connected to, lets say a Logitech meeting device, select the correct device as shown in the image below. The same applies for Video.
Change sound / video settings in call
Problems in a call ? Click as instructed in the image below to change to another audio / video device.
Set up meeting in Outlook by inviting attendees as normal
1. Open Outlook, and go to your calendar.
2. On the Home tab, in the Skype Meeting section, select New Skype Meeting. If you don't see the Skype Meeting section, then you need to install Skype for Business.
3: Set up the meeting as you typically would:
- In the To box, type the email address of each person you’re inviting, separated by semicolons.
- In the Subject box, type a name for the meeting.
- If you’ll have in-person attendees, either select Room Finder, in the Options section on the Meeting tab, and then find a room, or in the Location box, type a meeting location, such as a conference room.
- Select a start time and end time.
Notes:
To look for a time that works for everyone in your organization, select Scheduling Assistant, in the Show section on the Meeting tab.
4: In the meeting area, type an agenda. Be careful not to change any of the Skype for Business meeting information; URL, Meeting ID and other unique information.
Important:
Scheduling a meeting with the default options, like we just did, is suitable for small, internal meetings, such as casual meetings with a few coworkers. If you have a meeting with people outside your company, or you’re scheduling a large event, change the meeting options before sending the invites to better fit your meeting requirements. In the meeting request, on the Skype Meeting section on the Meeting tab, select Meeting Options, and then select the appropriate options.
5: (Optional) Preload your meeting attachments. That way, when participants join the meeting, everything is ready to go. See Preload attachments for a Skype for Business meeting.
6: (Optional) In the Show section of the Meeting ribbon, select Scheduling Assistant to make sure you have the best time for the meeting.
7: You're almost done. Just double-check the information and select Send.
Set up meeting in Outlook and send details in another e-mail than the invite / Host a meeting with an open meeting time
One can send the meeting details in a separate e-mail and this way
edit the appearance of the invite
host an open meeting without a set start time
not send the meeting details to the recipients through a normal calendar invitation
- Add the meeting as normal, but add only one attendee; yourself. Save the meeting.
- If you want an open meeting, it's a good idea to put the time and date in the future.
- Open the meeting from the calendar, copy the details for the meeting and paste this information in the e-mail you want to send to the recipients.
