What is a chat?

By using the Chat icon in the left side menu, you can create and respond in a 1:1 conversation – or with a specific selected group of people.
The chat is only available to those who are invited into the chat.  

How to create a chat

Click on the New Chat icon at the top of the page.

Start typing the name of the person you want to start a chat with, the name should appear in a drop-down menu where you can select the person.

To start a Group Chat, click on the drop-down arrow when creating a new chat, type in a Group Name,
you now have the ability to add multiple people to the chat.

How to delete a message

Place your pointer onto the message you want to delete. Click on the three dots indicating further menu options.
In the pop-up menu that appears; Select Delete.

NOTE: This only works on messages you have sent.

How to edit a message

Place your pointer onto the message you want to delete. Click on the three dots indicating further menu options.
In the pop-up menu that appears; Select Edit message.

NOTE: Once a message is edited, all users within that chat will be able to see that the message has been edited.

How to filter

Click on the filter icon to filter by name.

By clicking on the three dots you can filter by

  • Undread

  • Meetings

  • Muted

How to pin

In the Chat menu, hover over a chat and click on the three dots.
In the pop-up menu that appears; Select Pin.

This will pin that specific chat to the top. You can pin multiple chats for easier access.

Chat functionalities

If you wish to send a hyperlink in this format: Click this link to open Google.com.

Click on Format under the chat-box and Insert Link in the expanded window,
you will then have to fill in the URL adress (example; https://google.com) and the text to be displayed as shown in the example above.

How to send files

Click Attach under the chat box.

Select from these options:

  • Recent

  • Browse Teams and Channels

  • Upload from my computer

If you're uploading a file from your computer, select a file, click Open, and then Send.

Pop-up chat window

You can instantly pop out your one-on-one or group chat into a separate window. Then, resize, reposition, or close the window as you wish.
You can pop out multiple conversations, but not the same chat twice.

NOTE: as of July 2020, the Pop out chat feature is currently available in the desktop app for Windows and Mac only. It is not yet supported for Teams on the web, Linux, or mobile.

You have multiple options to get a pop-up chat

From a profile picture
Double-click the profile picture of the person you want to have a conversation with.

From the chat list
Double-click the chat name.

By hovering over a chat
Click the square icon with an arrow seen in the picture.

From the chat itself
In the top-right corner of the chat you will see the same square icon with an arrow, click this to pop out the chat.

Voice message in chat – Mobile Teams app

Sometimes a voice message is better or more convenient than a written text.

  1. Push and hold the Microphone icon at the bottom of the screen.

  2. Release the button when you finish the message.

  3. Tap the Send button.
